HR Coordinator with specialization in Disability Case

Describe the broad function and scope of the position:
Under the direction of a team leader within the HR Solutions team, the HR Coordinator/ Disability Case Coordinator (DCC) manages the Global LLC Short-Term leave (STD) and other leave programs for all employee groups located in the United States. This position is part of a virtual team that must manage a high volume of Leave of Absence/Disability claims while working independently. In addition, each team member must appropriately prioritize work and assisting other team members with questions/issues and balancing of work load. On a rotational basis, each team member will perform Intake duties, assigning cases out to other team members based on case load. DCCs will be responsible for submitting employee status changes into SHARP on a timely basis and are responsible for the analysis of participant data to ensure proper calculation of plan disbursements. DCCs, in partnership with our Disability third party administrators, are also expected to apply all applicable local, state, and federal laws, and stay up-to-date on any impactful legislation. In their work as functional experts in this specialized area, the DCC must maintain exceptional working relationships with internal management groups, external vendors, and the broader employee population.

Describe the primary responsibilities of the position in order of importance and identify % of time spent on that responsibility:

Administration of DISABILITY CASES

  • Administer the non-clinical disability case support including Short Term Disability paperwork flow, a multi-step and detailed process work flow, to include internal claim initiation, claim delegation, liasing with our third-party administrators to process claims, claim maintenance, communication to managers, SHARP inputs and preparing & sending letters to employees as needed.
  • Function as a subject matter expert on all Leaves processes, providing guidance to employees, interpreting leave policies which govern the various leave programs in a way understandable to each affected individual and following up with any needed paperwork and/or documentation.
  • Oversee proper application of FMLA benefits in partnership with our third-party administrators for claims that run both concurrently and consecutively with STD.
  • Manage LTD process and paperwork with internal and external groups.
  • Initiate and develop strong customer relations and working partnerships with third-party plan administrators (i.e. The Hartford, ESIS) as well as Shared Services teams who support NA disability claims; Communicate issues and work together to find effective, efficient collaborative solutions.
  • Actively execute operational disability management objectives and continuous process improvements at both the team and corporate levels to include interpreting benefits policies and offering any recommendations on ways to improve.
  • Consult and coach People Managers and HR in developing effective return-to-work strategies, coach and support the employee and manager with the process to be in compliance with the ADA, FMLA and all other state & federal laws.

LEAVES PROCESSING MANAGEMENT
Administer all paid and unpaid leave programs not covered under disability. This process includes the routing the necessary request forms, ensuring all approvals are secured, and inputting the necessary changes into SHARP. These programs include but are not limited to Military Leave, Personal Leave, FMLA, and New Mother Phase In.

OTHER PROJECTS
Participate in any HR Workforce Solutions team activities if needed/requested.

QUALIFICATIONS & SKILLS
Functional/technical skill
• Strong Knowledge of applicable state and federal employment, disability-related and FMLA laws and practices and standards
• Strong computer skills and a working knowledge in Microsoft Outlook, Word, and Excel, SAP, SharePoint, and case management software tools and the ability to easily learn new software programs

• Establishes and maintains effective relationships with employees, managers and third party providers enabling their trust and respect
• Provides insights and trend perspectives to business functions and key client groups about disability case trends and business performance in the processes
• The ability to work independently, but also collaboratively with local business, HR and other support functions as well as Shared Services and external providers to reach common goals

• Demonstrate ability to deal effectively with the supervisors, peers and co-workers and work effectively in a team environment.
• Ability to defuse highly sensitive situations comfortably and interpersonal skills will be essential to managing through difficult employee cases as they arise.
